What is 25Live?

The official event scheduling system of Yeshiva University is 25Live. Submitting an event request through this system allows you to request rooms, setups, and related resources as well as promote it on the University Event Calendars. 25Live is a web-based event publishing and scheduling application that can be accessed from any computer with an internet connection. 25Live streamlines the process of event scheduling by providing recommended locations based on attendee count and real-time availability. It also allows users to see photos of spaces, create favorites and lists, and customize search preferences. 

Who can access 25Live?

Wilf & Beren Campus Faculty and Staff with an active YU user id and password can attend a training and log in to 25Live to check the availability of a space and request a reservation.

25Live is not for external Organizations to request events. 
For all external meetings and event requests please contact the Office of Events at 646.592.4299 or email events@yu.edu. University space is limited and not always available for non-University Events.

Do I have to have training in 25Live? Why can’t I just have access?

YU requires all users to have training, to ensure that they understand the process and to show them the best way to use the tool as well as ways they can make the tool work for them. The trainings are short, an hour or less, and cover all aspects of room reservation requests.

What are the recommended browsers?

25Live supports the latest version for each of these browsers as well as two major versions back. Minor display variations may occur between browsers.

Internet Explorer does not work, in any version. 

Is my room reserved as soon as I request it?

No, your room request is not confirmed until the Office of Events confirms it. You will get an email from the Scheduler with your confirmation details.

How long will it take to hear back about my request?

Please allow a minimum of two business days for your event request to be processed. The Office of Events will determine the availability of space based on the scheduling policy* and will send a confirmation to the requester, providing all necessary information and approvals are obtained for the event. An email confirmation will be sent to the contact person when the location has been assigned. Your request will remain tentative until that time.  

The Office of Events cannot schedule academic spaces (classrooms, computer labs or any other space in which a class takes place) until the first week of each academic semester. Once the Office of the Registrar finalizes the class schedule, these spaces will be available to be assigned for event use. 

Any event request for academic spaces submitted prior to the first week of the semester will remain in the queue, unconfirmed, until the Office of Events is able to schedule academic spaces. 

How do I find events I have submitted?

If you know your Reference ID, the event can be looked up quickly using the Quick Search box on the dashboard. Otherwise, you will need to search for it under the 'Events Tab.'

What if I need to change the date/time/location/other information?

Email the Office of Events with any changes and a Scheduler will get back to you about the requested changes. If there are scheduling conflicts with the room, they will do their best to find you a comparable location. 

I made a mistake! How can I fix it?

You can only edit the Event Description for Web Calendars and Additional Files pages, anything else you need to change will have to be requested of the schedulers. Email the Office of Events with any corrections.
