How do I open up a new position?

Submit a New Position PRF in YESS including a detailed position description. If the position is for a Research Technician, please complete the Research Technician Questionnaire within the PRF. If the position is for a SAMS, please complete the SAMS Questionnaire within the PRF and route to Human Resources.

How do I open up a replacement position?

Follow the above instructions for creating a new position but use a Replacement PRF instead of a New Position PRF.

If a job description is too long to type in the description section of the PRF, will HR accept a paper copy or separate attachment (e.g. Word document)?

All PRF’s must have a complete job description within each PRF transaction.

How do I know if my PRF transaction has final budget approval?

Under the tracking option, you may select the VIEW PRF option and type in the PRF number and year. You can click the VIEW button and it will take you to the history page. You will then be able to scroll down the page to see if it has noted “Final Approved” on the right hand side.

How do I locate a transaction that was generated by my department?

On the top menu click on the tracking option and choose from following (1) PSF/PRF (2) PSF History by employee (3) PRF/PSF Track by number (4) View PRF. Once selecting any of those choices by listing the transaction number or employee name you can click the VIEW button on the right hand side that will take you to the history page. You will then be able to scroll down the page and this will indicate the location of the transaction.

How do I get a new hire on payroll?

Submit a New Hire PSF in YESS and route to Human Resources.

What is the difference between a recall, rehire and reinstate transaction?

A recall transaction should be processed to return an 1199 employee that was laid off within a one year time period. A rehire is processed to bring a previous employee back on payroll whether in the same position or new position. A reinstate is processed to bring an employee back on payroll at the same title, status and rate of pay.

What do I do if I try to generate a transaction for an employee and do not see the name on the drop down list?

How do I hire a Student Trainee?

Complete a Work Related Training Form PRF in YESS along with a New Hire PSF in YESS and submit to Human Resources. All other paperwork, pre-employment application, I-9 with supporting documentation, W-4, evidence of medical clearance from pre-employment physical, if applicable, should all be forwarded to the Employment Office in Belfer 1207.

How much can I pay a Student Trainee?

Student Trainees typically earn between $7.25 and $8.15 per hour based on related skills and experience. Please note the rates are subject to change based on Federal and New York State Minimum Wage regulations.

If a person is transferring to another department and their status is changing as well, what kind of PSF should be submitted?

The originating department should submit a Transfer/Change of Status PSF and route it to the department the employee is transferring to. After the transaction has been approved by both departments, please route to Human Resources.

What do I do when I get an error message while saving my PSF transaction?

Usually when the error message pops up it will indicate that one of these required fields is missing (effective date, funding source not matching the annual salary or an incorrect date in the allocation section). Once these fields have been completed with the correct information, click the save button on the transaction again.

What kind of PSF needs to be submitted to bring the employee to their 1st year rate?

Submit a Job Rate Increase PSF.

What kind of PSF does not need to be seen by Human Resources?

Change of Effort, FTPO, any Faculty transactions, Name, Address, Vital Statistics and W-4 Changes.
